VeriFactu:a recently coined term, yet of vital importance in the world of e-invoicing and one that is here to stay. In the following, we delve into this new system, an innovative solution developed by the State Tax Administration Agency (AEAT). We will discover what it is, how a VeriFactu invoice is identified, its effective date, who it affects, how it works, and the advantages it offers. Benefits that are leveraged by both the AEAT and businesses. Furthermore, we will show you why easyap is your ally in the process.
What is VeriFactu?
As this is a very new term that you might be hearing for the first time, let’s define what VeriFactu is. It is an electronic invoicing system developed by the AEAT. The idea behind its development is to simplify and modernize the processes related to the issuance and reception of invoices.
In this regard, we can say that the VeriFactu system was created with the clear objective of guaranteeing the authenticity, integrity, and non-duplication of electronic invoices. So, it is a fundamental element in providing greater security to both businesses and the tax administration.
How is a VeriFactu invoice identified?
So, how do you know if the one you have issued or received is a VeriFactu invoice? Normally, you can easily identify it because these documents include a QR code and an electronic seal. These elements, in turn, allow for instantaneous verification of the invoice’s authenticity, as well as validation of its content.
In fact, the QR code included in these electronic documents contains the relevant information that must appear on every online invoice. We are talking about the tax identification number of the issuer and the recipient, the total amount, the issue date, and other essential data. This way, anyone can quickly verify the validity of a VeriFactu invoice by scanning the QR code.
How to know if your invoicing system is a VeriFactu system?
And when it comes to implementing software in your company or adapting it to the VeriFactu system, how can you do it? To ensure your invoicing system complies with VeriFactu requirements, you only need to do one thing: verify if the software has the necessary functionalities to generate electronic invoices with a QR code and an electronic seal. It’s that simple.
On the other hand, it is also very important to ensure that the software you have in your company is updated and compatible with the standards established by the AEAT.
In this regard, we take the opportunity to point out that at easyap we have fully adapted to VeriFactu’s requirements. Therefore, we can guarantee a highly satisfactory experience for all our clients.
When does VeriFactu come into effect?
Another important question about the AEAT’s VeriFactu system is the date it became mandatory. After a long legislative process with adjustments to the regulation, on December 6th, the BOE Royal Decree 1007/2023 was published, which details the requirements for electronic invoicing systems and programs for businesses in Spain.
Likewise, this regulation is a direct derivation of the modification of article 29.2.j) of the Law 58/2003, which is the General Tax Law, which addresses measures to prevent and combat tax fraud. Ultimately, the Verifactu regulation seeks to standardize the formats of invoicing software.
Following the promulgation of this royal decree, the issuance of a ministerial order is expected, which will lSoftware developers will have a 9-month period to comply with the provisions of this law. For their part, companies and self-employed individuals subject to this obligation will have until July 1, 2025 to make the necessary adaptations and comply with the requirements of the Verifactu regulation.
In this regard, it should be noted that, although this implementation may represent a change in invoicing processes, it signifies a significant step forward towards digitalization and efficiency in business management.
Who does this system affect?
Regarding which companies must adhere to the Verifactu regulation, the standard will extend to all commercial operations. Therefore, it is mandatory by law for all businesses, except for those already subject to the Immediate Supply of Information (SII) or for those who are exempt from the obligation because their invoicing volume is less than 6 million euros.
In terms of its geographical scope, its implementation covers all of Spain, excluding territories with special tax regimes. In the Historical Territories of Biscay, Gipuzkoa, and Álava, TicketBAI, which operates similarly to the new system approved for the rest of Spain.
Nevertheless, beyond its mandatory nature, at easyap we emphasize the positive aspects of digitizing invoicing processes in any company. It is essential that all actors in the business ecosystem adapt to this new system to comply with current regulations and, at the same time, avoid potential sanctions or financial penalties.
How does VeriFactu work?
Regarding how VeriFactu works, it is very simple. It is based on the inclusion of a QR code and an electronic seal in e-invoices issued from one company to another:
– The QR code contains relevant information about the invoice.
– The electronic seal guarantees its authenticity.
Likewise, it is the company that has performed the service or sold the product that issues a VeriFactu invoice. This invoice, if an optimal system is in place, will be automatically generated by the e-invoicing software itself with the QR code and the electronic seal. This way, you ensure data integrity and facilitate its verification by the AEAT and other interested parties.
What advantages does VeriFactu offer for the AEAT and for companies?
In turn, we emphasize the importance of VeriFactu and e-invoicing, not only due to its mandatory nature. Its implementation across the national business fabric brings with it numerous advantages, both for the AEAT and for companies. Let’s look at them.
For the AEAT
– Facilitates control and auditing of electronic invoices.
