Invoice Translation: Regulations, Requirements, and How to Manage It

May 21, 2025 | Uncategorized

Globalization interconnects us all: people, businesses, markets… Those who don’t adapt simply cease to exist. That’s why invoice translation is a common necessity for companies operating with international suppliers or clients. However, many organizations are unaware of the regulations for translating invoices, which languages are accepted in Spain, and the requirements for issuing and receiving them in another language. Here, we address the main questions about translating electronic invoices and analog invoices and show you how easyap helps you automate and simplify this process while complying with regulations.

When is invoice translation necessary?

To begin, the first question to answer is simple: when is it necessary to translate an invoice? The need primarily arises in these scenarios:

  • When the recipient does not understand the document’s original language.
  • In tax audits where the Spanish Tax Agency (or that of the country to which you issue it) requires the documentation to be understandable.
  • In intra-community or international operations.
  • For internal accounting records of multinational companies based in Spain.

Example: if a company in Madrid receives an invoice in German, it will likely need to translate it into Spanish to properly record the operation and comply with tax regulations.

In what language can invoices be issued and received in Spain?

As you can see, one of the reasons invoice translation is necessary is due to legal requirements. Furthermore, Article 12 of Royal Decree 1619/2012 is what regulates invoicing obligations. What it clearly establishes is that invoices must be understandable to the Spanish tax administration.

This means that, although there is no express obligation to issue invoices in Spanish, they must be available in that language if required by the Tax Agency.

Accepted languages for issuing and receiving invoices:

At the same time, there is no clear rule regarding which specific languages are accepted. Rather, it will depend on what the Tax Agency requires in the case of receiving invoices by the Spanish company and on what each country establishes when the invoice is issued from Spain.

In this regard, this table clarifies the matter:

Issuer/Client
Accepted Language
Translation Required?

Spain ↔ EU
English, German…
Depends on the recipient

Foreign → Spain
English, German…
Translation necessary if required by the Tax Agency

Spain → Foreign
Client’s Language
Can be issued in another language if agreed

What is the regulation on invoice translation?

On the other hand, the legislation in our country does not have a specific “regulation for translating invoices”. However, it clearly states that invoices must be legible, authentic, and complete. Therefore, invoices, regardless of the language, must comply with four principles:

  • Legibility: the invoice must be clear and understandable to the Administration.
  • Authenticity: the translation cannot alter the veracity of the original content.
  • Retention: if an invoice is translated, you must retain both the original and the translated versions.
  • Legal Responsibility: in case of a translation error, the receiving company may be penalized if an expense is incorrectly deducted or if there are problems, for example, with VAT invoices.

AEAT Recommendations:

Additionally, the Tax Agency itself aims to assist with the complex issue of invoice translation. To this end, it provides three recommendations:

  • Translate invoices to Spanish if they are to be submitted to the Tax Agency. Keep in mind that although they can be submitted in another language, translating the invoice will streamline and facilitate the process.
  • Retain both versions (original and translated).
  • Have the translation performed by qualified personnel or with tools that guarantee fiscal accuracy.

What data must a translated invoice contain?

What is clear is that, whether in Spanish or translated, the invoice must fully retain all mandatory fields required by Spanish legislation and faithfully reflect the data of the original document. That is, preserve all billing data required by the aforementioned Royal Decree 1619/2012:

  • Invoice number and series.
  • Date of issue.
  • Tax details of the issuer and recipient.
  • Detailed description of goods or services.
  • Applied tax rate and VAT breakdown.
  • Total amount.
  • Currency (if applicable, the exchange rate must be indicated).
  • Date of operation if different from the date of issue.

Important: when translating an invoice into English, it is not enough to manually translate the basic concepts. The translation must include all fiscal and accounting elements required by Spanish law.

How to correctly translate an invoice into English (or other languages)?

Practically speaking, if your company needs to translate invoices into English or any other language, you have several options:

  • Manual translation by a professional translator. This is the most accurate method, but also the most expensive. Recommended for audits and inspections.
  • AI-assisted automatic translation. This is the fastest and most cost-effective option, but it requires supervision.
  • Specialized software with accounting and linguistic integration. In our view, it’s the best for efficiency and cost-effectiveness. A solution like easyap’s automates translation and guarantees consistency.

Furthermore, every translation must consider the following aspects:

  • Terminological accuracy. Interpretation errors lead to fiscal problems.
  • Compatibility with accounting systems. The translation must be understandable to the person recording the invoice.
  • Compatible format. Both the content and the format must adapt to the company’s accounting system.

Best practices for translating invoices and documents

From our experience working with numerous international companies, we recommend applying the following practices when translating your invoices:

    • Agree with your clients and suppliers on the language in which they will be issued.
  • Clearly indicate the original language and the translated version.
  • Use approved tax glossaries to ensure terminological consistency.
  • Implement a document management system with traceability between the original invoice and its translation.

Above all, we advise this because a poor translation of an invoice can lead to:

  • Economic penalties for improper VAT deduction.
  • Rejection of other tax deductions in audits.
  • Legal invalidity of the document during an inspection.

Therefore, having a reliable invoice translation system is a necessity, especially for companies that work with documents in multiple languages.
